What a payslip must include
Employers must give each employee a payslip within 1 working day of pay day, even when the employee is on leave, on paper or electronically. Each payslip must show:
- the employer’s and employee’s names
- the employer’s ABN, if it has one
- the pay period and the date of payment
- gross and net pay
- for hourly-paid employees: the ordinary hourly rate, the hours worked at that rate and the amount paid at that rate
- any loadings, allowances, bonuses, incentive payments, penalty rates or other entitlements that can be separated from the ordinary rate
- each deduction, with the name (or name and number) of the fund or account it was paid into
- super contributions for the period, and the name (or name and number) of the super fund
- on termination, the pay rate that applied on the last day of employment
A new employee’s first payslips can leave out the super fund if they haven’t chosen one and the employer hasn’t yet received their stapled fund details from the ATO. Fair Work inspectors can fine employers who leave out required details or don’t issue payslips on time.

How to read a payslip
Take the default example: 76 hours at $35.00 for a fortnight.
- Gross pay is everything earned before anything comes out: $2,660.00.
- PAYG tax withheld is the tax your employer sends to the ATO for you, from the ATO tax tables: $488.00. It’s an estimate of your tax for the year, settled when you lodge your tax return. Check it with the tax withheld calculator.
- Deductions such as union fees come out of your pay after tax, and the payslip shows where each one was paid.
- Net pay is what reaches your bank account: $2,172.00.
- Super is paid on top, into your super fund, not your account: $319.20 at 12% of ordinary pay.
- YTD (year to date), if shown, is the running total since 1 July. Your income statement in myGov at the end of the financial year should match it.
Record-keeping rules
Employers must keep time and wages records for 7 years. They must be readable, in English and easy for a Fair Work inspector to access, and can’t be changed except to correct an error. Pay records include the pay rate, gross and net amounts, deductions, and any loadings, allowances, bonuses or penalty rates. Super records include the amount, pay period, dates paid, fund name and why that fund was used.
Employees can ask to see their own records, including after they leave. This generator doesn’t keep copies, so save or print each payslip for your records.

Frequently asked questions
Do payslips have to show leave balances?
No. Showing annual, personal and long service leave balances is best practice but not required. Employers must tell employees their balances if asked. Payslips must never mention paid family and domestic violence leave: pay for that leave is recorded as ordinary hours or another kind of payment. Is a payslip generated here valid?
A payslip is valid when it has the required details and reflects pay actually made. This tool lays them out and works out tax withheld from the ATO tables, but the employer is responsible for the figures being right. It is unlawful for an employer to give a payslip they know is false or misleading. Making one to support a loan, rental or visa application is not an acceptable use of this tool.
Why doesn’t the payslip show year-to-date totals?
Year-to-date figures aren’t required on a payslip, and getting them right needs every earlier pay in the year, which this generator doesn’t store. Payroll software usually adds them.
